The Windows Branding Tool  ·  Outlook Email Signatures

Deploy Outlook email signatures via Intune — without scripting

Manage and deploy branded Outlook signatures across your entire Windows device fleet using Microsoft Intune or MECM. No PowerShell. No external services. No email leaving your environment.

Managing Outlook signatures at scale is harder than it should be

Organisations spend weeks building and maintaining login scripts or Group Policy objects just to push an HTML file to the right folder on each device. When a rebrand happens, old logos persist for months. When users move to New Outlook or Outlook on the Web, the scripts stop working entirely.

The Windows Branding Tool solves this by packaging your Outlook signature templates into a silent installer — a Branding Package — that deploys through Intune or MECM exactly like Google Chrome or Adobe Reader. IT deploys it once. It runs. It works.

Works across all three Outlook clients

Whether your organisation uses classic desktop Outlook, the new cloud-connected client, or Outlook on the Web, the Branding Package delivers the right signature to the right surface automatically.

Outlook Classic

HTM and RTF signatures deployed locally. New message and reply/forward templates both supported. No internet connection required after deployment.

New Outlook

Cloud-connected signature delivery via Entra ID and Microsoft Graph. Roaming signatures set centrally. Works within your existing Microsoft 365 tenant.

Outlook on the Web

OWA signatures set automatically from the same Branding Package. No separate configuration or additional infrastructure required.

Four steps from template to deployed signature

Step 1

Design your template

Create your HTM signature file in Microsoft Word. Add dynamic placeholders for display name, job title, phone number, and any other attributes from Entra ID or Active Directory.

Step 2

Import into the tool

Open the Windows Branding Tool and import your signature files. Preview how new message and reply signatures will look before packaging.

Step 3

Create a Branding Package

The tool generates a self-contained silent installer. It produces both an MECM-ready executable and an .intunewin file for Intune Win32 app deployment.

Step 4

Deploy via Intune or MECM

Distribute the Branding Package as a standard application. It installs silently, sets the correct signatures per user, and runs entirely on the local device.
